Creating schedule availability |
|
|
1. |
Select "Scheduling Setup" on the main menu |
|
2. |
Next, select the date with which you want to create a schedule block from the date picker (month calendar) on the left . |
|
3. |
Next, type the desired schedule name, in the Label field and the additional schedule information (see field glossary for details). |
|
4. |
Time Intervals - Select the Time Interval with which to allow for appointments.
Example: If you want to set a schedule block as a "Cattle Call" then you would set the interval as the same amount of time as the time span (Start Time - End Time) defined. i.e. If the time span is 60 minutes then the Time Interval would be 60 minutes. Next, set the Max Appts per time interval to the number of appointments that you wish to allow for the whole block of time.
If you wish to allocate a specific time for each appointment, as in 15 minute hearings, then the Time Interval would be 15 minutes and the Max Appts per time interval would be set to 1. i.e. This setup would define a specific appointment block for every 15 minute interval within the time span (Start/End times) that you define. |
|
5. |
Appointment Buffer is used for restricting the number of days prior to the date of the Availability Block that the attorney can schedule for the hearing. Example: If this is set to 3, then the attorney only will see this block for up to 3 days prior to the hearing. They cannot schedule against this block after 3 days prior to the schedule date. |
| 6. | Publicly Available is checked by default, this is used to extend availability to ONLY internal Court agencies. Example: If this is unchecked then the external users (attorneys) will not see this availability block but the internal Court staff can. |
| 7. | Permit Scheduling - If this checkbox is checked then the block allows the attorney to schedule against it. Otherwise, it just displays the block for informational purposes. |
| 8. | Show End Time - Provides the ability to show or hide the end time of the availability block. This is used if you want all of the scheduled appointments to arrive at the same time. |
|
9. |
Allow Cancellations - When checked, the attorney may cancel the appointment that he or she set. |
| 10. | Require Trial Type Indicator - Forces the user to select a "Jury" or "Non-Jury" trial type and the estimated number of days for trial. Note: You will receive this information in the confirmation email and on the docket. |
| 11. | Allow Multiple Identical Cases - When checked, this feature allows the attorney to create consecutive appointments for the same case number on the same day. |
| 12. | Include Resource in Email - Provides the ability for the resource, usually the judge, to receive the confirmation emails for this availability block. Note: This is unchecked by default |
| 13. | Require Document Filing - This feature restricts scheduling of an appointment unless the associated documents are filed along with the scheduling of an appointment. |
| 13.1 | Document Filing Message - This is the message that you would like to convey to the attorneys regarding the document submission process. Example: Please submit Notice and Motion along with your hearing appointment. |
| 13.2 | Available and Selected Forms - This allows you to provide the specific forms that you would like to see submitted. Note: This is only provided as a courtesy, the attorney can still submit their own documents. |
| 13.3 | Adding Document Forms - Select the appropriate form from the list under Available Forms and click on the Add button. That form should then be placed into the Selected Forms list. |
| 14. |
Start Time and End Time - The beginning of the schedule block and the end of the scheduling block, respectively. |
| 15. | Admin Email - This should be your email address. If this is any other email address please contact support to change it. |
|
16. |
Notification - The notification section, allows you to provide additional information for this specific schedule block. NOTE: This IS NOT the global message that displays on the main scheduling page for the attorneys, if you wish to change the global UMC, or DISCOVERY message see Modifying Resource Profiles |
| 17. | Enable Schedule Templates - This will allow you to treat the availability blocks created and Duplicated as Templates. Once you Duplicate a Template, it becomes connected to the one that you copied it from. When you edit the template, it will edit all of its child block, eliminating the time that it takes to modify all identical availability blocks. |
